About the event:
Insurtech Insights Europe 2025 is one of the continent’s largest insurance and technology conferences, drawing over 6,000 senior professionals from across the global insurance ecosystem. Held over two days at the InterContinental London –The O2, the event spanned three full floors of the venue, including the Peninsula Ballroom, Arora Ballroom, and Greenwich Suites.
Our team was appointed as the full-service production partner to design, build and manage every aspect of the event environment -from seven stage builds and technical production to exhibition support, activation zones, furniture, marquee and logistical coordination.
Brief:
- Create a dynamic, brand-aligned environment across all stages and spaces
- Deliver seamless AV and technical production for live and recorded sessions
- Support over 110 exhibitors with full exhibition delivery and logistics
- Design and implement high-impact activation and networking spaces
- Ensure smooth operations across a multi-floor, multi-use venue.
Solution:
The event took place across three floors and outside in a purpose-built marquee showcase designed, managed and installed of the O2 Intercontinental London. Showcase created and provided the following:
EXTERIOR OF VENUE
30m x 20m Marquee 600sqm, internal fit out for registrations, stages, live relay from main event, activational areas, power, furniture, AV, infrastructure and external roof branding.
ARORA BALLROOM
For the Main Stage with an 800-seater audience, Showcase created the stage and set which involved a 15m wide x 5m flown LED wall -moving head lighting for effects, live camera replay / records, lighting, video and audio solutions.
The “Purple Stage” consisted of flown LED tube lighting to create and immersive experience, large format wide screen projection, event branding and live relay from main stage as an overflow for 300 delegates. Staging / furniture audio, video and lighting systems as well as live camera relay and recording was installed and operated as well as atmospherics.
Within the exhibition space of the Arora Ballroom were a series of premium exhibition stands; custom build stands and the lounges. As well as the design and creation of the spaces, Showcase was also responsible for relaying live camera content from the main stage to a large projections surface. This area was also home to game activation spaces.. To brand this section Showcase used gobo projection of the event logo on the walls. To create the appropriate atmosphere, they provided audio systems for background music, lighting, moving head lighting, haze machines, atmospheric lighting and flown lightboxes for brand opportunities.
PENINSULA BALLROOM
The newly opened Peninsula Ballroom was home to variety of stage setups within the different event zones utilising LED walls, stage sets, CNC cut lettering, moving head and atmospheric lighting.
SECOND FLOOR
The second floor housed the red and orange content stages for which Showcase created a 10m wide x 2.5m print wall with a rear projection surface. Along with video, lighting live camera recording and audio solutions.
Content Creation and Onsite Editing
to bring all elements together for the main stage and opening sequence Showcase responsible for the open video sting creation and the background layers. When it came to the on-site filming sessions, Showcase’s skill came into play as they were edited within a 48-hour turnaround.

Showcase delivered 130 exhibitor stands plus further activation pieces with full onsite support, including:
- Custom and modular stand design
- Print and signageFurniture and audio visuals packages

- Dedicated exhibitor support team on-site
- Managed floor planning and spatial flow across ballrooms to ensure visibility, accessibility, and safety compliance.
Delivery:
The two-day event involved 14 lorries that ran on palm oil-free HVO fuel, five project managers and on-site circa 150 staff which included exhibition builders, carpenters and technicians., 7 stages, 600SQM marquee and fit out, event and exhibition furniture. 5 Project managers, 130+ exhibitors and activations, onsite video and editing – 170 sessions, branding – internal and external. 2-day build , 2-day live event, 7 hour derig and offsite.
