About the event:
The Bupa everywoman in Technology Awards shine a spotlight on the tech industry’s most exceptional talent, from the UK and beyond, providing an opportunity for companies and individuals to put forward candidates for categories celebrating all stages of their career journey. Showcase was contracted for the 2025 event after the success of delivering two awards shows in 2024.
Brief:
To design and build the stage set, including creating the graphics. Showcase was also tasked with the overall production for this event, including all AV, sound and lighting – which represented the 2024 design as this was a hit with sponsors / clients / audience and provided the functionality needed for the conference and event across the digital landscape of the LED wall.
Solution:
Showcase created the set for this event, which involved LED walls that displayed the presentation, video, live video camera relay and content. They created various background layers for the LED screen, enabling different looks and feeds between the forum and the awards. They also installed moving head lighting for the ceremony whose purpose was to allow for different lighting states between the forum and the awards ceremony. Haze machines were used to capture the beams and create an ambience and excitement of the event.
The day and evening events were captured by video cameras which were relayed to the large screens; they captured the winners walking to the stage. The daytime event was livestreamed via Vmixto the client’s platform creating a hybrid solution to extend R.O.I. for BUPA and the event sponsors. We also installed an interactive screen which relayed comments / notes to the main stage and could provide realtimeupdate to questions being asked as “sticky notes”.
Line array audio systems were installed to allow for even coverage and energetic music across the venue, this included the use of Shure wireless systems, so allowing for both lapel and handheld solutions along with lectern mics for hosts.
The central section of the backdrop was a removable printed wall, this was cleverly designed to allow the central stage section and the walling to be removed and stored behind the stage set. The printed wall section allowed for changes of sponsorship graphics from the forum to the awards section, permitting the LED screens to be utilised for content.
Showcase employed a large 82″ screen for sponsorship, as well as displaying the seating plans of the awards tables. They provided furniture for the staging and lounge areas for sponsor activations.
The team captured the raw content from the event, which was passed to the client’s in-house team, where it will be used for highlights packages and videos to promote the 2026 event.
Delivery:
Installation commenced at 23:00 and was completed by 05:00 when the installation team handed over to the forum team at 07:00. This meant that there was enough time for final content checks before the presenter rehearsals which went extremely smoothly. The forum team continued until the change around when the new project management team came in to deliver the award section of the event; the derig team came in at 01.00.
Showcase utilised 2 x 18-tonne trucks, these ran on palm-free HVO fuel as part of Showcase’s continuing effort to make their events as sustainable as possible. Showcase emptied two project managers, a showcaller, an account manager and a team of 15 technicians & local crew.
